Privacy policy

Effective October 5, 2026

onlinerecords.us ("we", "us") runs the website at onlinerecords.us. This policy explains what we collect when you use the site, why, how long we keep it, how to ask us to delete it, and the choices you have.

What we collect

Your email address. We ask for it on the first step of the free report form. We check that it looks valid and store it with the report request.

Your mobile phone number. We ask for it on the second step. We check that it is a 10-digit US number and store it in international format (for example +17275550123). Your report starts building as soon as you pick the property, but we receive your email and phone number only when you finish the second step.

Your opt-in status. The form has two separate boxes, both unchecked unless you tick them: one for email updates and offers, one for text-message updates and offers. For each box we record whether you ticked it, the exact wording you saw, the version of that wording and the time. If you confirm email updates through the link we send, we record when you confirmed. If you unsubscribe, we record that and when.

The addresses and properties you ask about. The address you type or the spot you tap on the map, and the property we match it to (parcel ID, county, unit, report ID), so we can build the right report and know which report your request was for. Reports are built from public records and shared by property, so anyone who asks about the same property gets the same report; your contact details are never part of it.

IP address, browser details and logs. When you use the site, our servers and our hosting provider record technical details of each request: the date and time, your network (IP) address, your browser's user-agent string, the page or API address requested and the result. With a report request we store your IP address and user agent alongside your contact details. We use these to run and secure the service, to prevent abuse (for example one person or program requesting thousands of reports), to fix errors, and as a record of when and how you gave any consent.

Your location, only if you allow it. If your browser shares your location (for example when you tap "Show my location" on the map), the map centers on it. Your location stays in your browser and isn't sent to us. Map images load from Amazon Location Service, which sees which area of the map is being shown. If you tap a spot on the map, we receive that spot's coordinates to look up the parcel there.

Details saved in your own browser. To save you typing them again, your browser remembers the email and mobile number you entered on this site (in its local storage, on your device only). You can clear it at any time by clearing this site's data in your browser settings.

Public government data your browser may fetch directly. If our server can't reach a public government data service in time (for example the Florida Department of Revenue's statewide parcel map, or the Florida GIO copy of it), your browser may ask that service directly for the same public record. Like any website, that service sees your IP address and browser details; we send it nothing about you. Your browser then sends the service's answer back to us so we can show your report. We use that answer only for your own visit until our server has checked it against the same public source. To match it to your visit, your browser creates a random ID for the browser tab; it isn't linked to your name, email or phone number.

We don't use advertising cookies, analytics or advertising trackers.

How we use it

We use your information to:

We don't sell or rent your personal information, and we don't use it to build profiles about you.

Where report data comes from

Property reports are compiled automatically from public records published by government agencies, such as county property appraisers, clerks of court, tax collectors and building departments, the Florida Department of Revenue, FEMA, USGS, NOAA, EPA and the Census Bureau. These records can include property owners' names and mailing addresses, sale prices, recorded documents and liens, exactly as the agency publishes them. Each section of a report links to the agency's own page so you can check it. We don't create or correct these records; if something is wrong, the agency that published it has to fix it.

Confidential addresses. Florida law lets certain people, such as law enforcement officers, judges and victims of certain crimes, have their home address made confidential (section 119.071, Florida Statutes); the property appraiser then removes it from the public record. If you believe a report shows information that should be confidential, contact your county property appraiser and contact us, and we'll remove it from our copy of that report.

Not a consumer report (FCRA)

onlinerecords.us is not a consumer reporting agency, and our reports are not "consumer reports" as defined by the Fair Credit Reporting Act (FCRA, 15 U.S.C. § 1681 and following). You may not use any report or information from this site to decide anyone's eligibility for housing or tenancy (tenant screening), employment, credit, insurance, or any other purpose covered by the FCRA. Reports describe properties, not people, and are not legal, title, insurance or financial advice.

Email

We send a "your report is ready" email to the address you gave for that report. We send marketing email only if you tick the optional email box and then confirm with the link in the one confirmation email we send you (double opt-in). Seeing your report never depends on this.

Every email we send identifies onlinerecords.us as the sender, has a subject line that reflects what's inside, shows our postal address, and has a link to unsubscribe. Our emails also support one-click unsubscribe in email apps that offer it (the "Unsubscribe" button next to the sender). When you unsubscribe, we stop right away, and in any case within 10 business days, and we keep a record of your opt-out so you aren't added again by mistake. You can also unsubscribe at any time on our unsubscribe page.

Text messages (optional)

If you tick the text-message box, you agree to receive recurring automated marketing text messages from onlinerecords.us at the mobile number you entered. Consent is not a condition of using this site, getting a report or buying anything. Message frequency varies. Message and data rates may apply. Reply STOP to any message to opt out, or HELP for help. If you don't tick the box, we will never send you marketing text messages. We don't send text messages today; if we start, we'll use only the numbers of people who opted in, and we'll honor opt-outs immediately.

We don't sell, rent or share your phone number or text-messaging consent with third parties for their own marketing.

Who we share it with

We share personal information only with service providers that run the site for us, and only so they can provide that service: Amazon Web Services hosts the site, its database and logs, sends our email, and provides the map and address search. We may also disclose information if the law requires it, to protect our rights or the safety of others, or as part of a sale or transfer of the business (in which case this policy keeps applying to it).

How long we keep it

Access, correction and deletion requests

You can ask us what personal information we hold about you, or ask us to correct or delete it. Email us at the address under Contact with the subject "Privacy request", from the email address you used on the site, and tell us what you'd like us to do. We may ask you to confirm the request from that address so no one else can delete or see your data. We'll respond within 30 days.

When we delete your information, we remove your report requests, contact details and consent records from our database. We keep only a one-way coded opt-out record if you unsubscribed (so we don't contact you again), and anything the law requires us to keep. Copies in backups expire on their normal schedule.

Deleting your information doesn't remove public records about a property, because they come from government agencies; see "Where report data comes from" above for confidential addresses.

Children

The site isn't directed to children under 13, and we don't knowingly collect their information. If you believe a child has given us information, contact us and we'll delete it.

Security

We store data encrypted, with access limited to the systems that need it. No method of storage or transmission is completely secure, but we work to protect your information.

Searches. We keep the addresses and parcel numbers typed into our search, what they matched and when, to improve matching and to list the properties people look up. We don't store your IP address, email or anything else that identifies you with a search, and search entries are deleted after about 13 months.

Approximate location. Our content delivery network (Amazon CloudFront) tells our server the state, city and approximate coordinates linked to your IP address. We use them only while you browse, to pre-select your state, show its logo and suggest addresses near you. We don't store them or share them. You can pick another state on the homepage at any time; that choice is kept only in your browser.

Advertising measurement

We use the Google Ads tag (Google LLC) to measure whether our ads bring visitors and report requests. It may set cookies and send Google your browser's IP address, the pages you view, and that a report request was made (never your email, phone or the property). If your browser sends the Global Privacy Control signal, we tell Google not to use the data for ad storage or personalization. You can also manage Google ad settings at adssettings.google.com.

Sample report and members list

If you ask for the sample report, we keep the email you enter with your request and show you a private link that works for 15 minutes. If you join the members list, we keep your email and the plan you picked so we can send your sign-up link when checkout opens. Neither adds you to marketing emails; that needs its own opt-in. Ask us to delete either at any time.

Ads, sponsored links and cookies

Some pages show advertising, which helps keep reports free. There are three kinds, each labeled: Sponsored placements bought by businesses or partner links that may pay us a fee, Advertisement units served by Google AdSense, and Free official resource links to government programs. About our ads Advertise explains how they are sold and placed.

How Google uses data from this site

When Google ads are switched on, Google and other ad vendors may use cookies or similar technology to show ads based on your visits to this and other websites, and to measure them. You can turn off personalized ads from Google in My Ad Center (opens in a new tab), and from many other vendors at aboutads.info (opens in a new tab). Google explains its practices in How Google uses information from sites or apps that use its services (opens in a new tab).

Visitors in the European Economic Area, the United Kingdom and Switzerland see Google's certified consent message before any personalized ads.

Your privacy choices (Do Not Sell or Share)

Some state laws treat personalized advertising as a "sale" or "sharing" of personal information. You can opt out on Your privacy choices, and we honor the Global Privacy Control signal automatically. Either way, Google ads on this site are requested as non-personalized ads with restricted data processing.

Changes

If we change this policy, we'll update the effective date above. If a change is significant, we'll say so on the site before it takes effect.

Property Watch

If you ask us to watch a property, we keep your email address, the properties you watch, the consent wording you agreed to with its version and time, and a log of the alerts we sent. For Property Watch Plus, Stripe processes your payment and we keep the Stripe customer and subscription IDs (never your card number). If you add a mobile number for text alerts, we keep it with the text-message consent wording, version and time; we don't send texts until a text-message provider is switched on. We use this only to send the alerts you asked for and to run your plan, and we never sell or share it. Every alert has a one-click unsubscribe link, and removed watches are deleted after 30 days. Manage everything at /watch/.

Premium memberships

If you join Premium or Unlimited, Stripe processes your payment as our payment processor; we keep your email address, the Stripe customer and subscription IDs and your membership status (never your card number), and the renewal terms you agreed to with their version and time. A sign-in cookie (or_member) keeps you signed in on that browser for up to 30 days; it holds only a membership ID and an expiry. Manage or cancel your membership at /premium/.

Title research orders

When you order title research or ask for a quote we keep your name, email, optional phone number, the property details you confirm, your messages, the order history and the research documents the provider delivers. We send the provider only what it needs to search (the property, parcel, legal description and the owner of record as shown in county records), never your email or phone. Stripe processes payments; we never see or keep your card number. Research documents are kept in private storage and downloaded only through signed, expiring links. A sign-in cookie (or_trc) keeps you signed in to your orders on that browser for up to 30 days; it holds only a customer ID and an expiry. Order emails are transactional and are sent even if you unsubscribe from marketing email.
